Harley,

You told me the goal: provide the hero images and the offer details, and the system handles everything else. Ad copy, template creation, audience segmentation, exclusions, scheduling. No prompting, no manual setup, no full days in Klaviyo.

What I am proposing is a reusable campaign engine for both Reef Treats and Field Days. You fill in one row in a promo calendar with the offer, the multiplier, and the send date. The system generates the copy, builds the email and SMS, segments your audience, excludes the right people, and schedules the send. You review and approve. That is it. For every promotion, across both brands, from now on.

The Challenge

Running promotions across two brands means repeating the same manual process every time. These are the three core problems the system eliminates.

Problem 01
Full Days Spent on Every Campaign
Each promotion cycle means hours of prompting, building templates, setting up segments, managing exclusions, and scheduling sends manually. That is founder time spent on execution instead of strategy. Across two brands with regular promotions, that adds up to days every month that could be spent growing the business.
Problem 02
Every Campaign Starts From Scratch
There is no shared system between Reef Treats and Field Days. Each campaign is built from zero with new copy, new segments, new schedules. When you run the next promotion or add a third brand, you repeat the entire process. The Manus handover showed what is possible, but a script on a developer machine is not infrastructure you can rely on.

No Ongoing Audience Protection
Without automated suppression and segmentation, the same contacts get hit too frequently. People who already purchased, already redeemed a coupon, or have not opened in 90 days still receive the same messages. This damages deliverability and trains contacts to ignore your emails. Every unsuppressed send lowers your sender reputation across both brands.

Automated Suppression and Segmentation
Cross-brand audience protection running on autopilot. The system syncs customer data across your Klaviyo accounts, builds dynamic exclusion lists, and segments audiences based on engagement. Send one goes to your full list. Send two onwards targets only openers who have not converted. Contacts with zero opens in the last 90 days are automatically excluded. All running on schedule without manual intervention.

Campaign Autopilot with Approval
One row in your promo calendar triggers the full pipeline. You provide the hero image and offer details. AI generates email subject lines, body copy, and SMS messages. The system creates the template in Klaviyo, builds the campaign with the right audience and exclusions, and sends you a draft for approval before anything goes out. You review, you approve, it sends. Both email and SMS, for both brands.

Reusable Multi-Brand Engine
The same system works for Reef Treats and Field Days from day one. Brand-specific templates, voice settings, sender details, and audience segments with shared automation logic. Offer rotation ensures sequential sends have varied messaging. Performance data flows into a dashboard after each campaign so you can see what converts. When you add a third brand, it is configuration, not a rebuild.

Terms of Engagement

Clause 01

Scope of Work

The Service Provider will deliver the project as described in the accompanying proposal document titled "Automated Email & SMS Campaign Engine" for Harley Cannard. The scope of work, deliverables, and timeline are defined in the proposal and incorporated by reference into this agreement.

Any work beyond the defined scope requires a written change order approved by both parties before work begins. Change orders will include updated timeline and investment.

Clause 02

Payment Terms

Total project investment: $1,500 USD. Payable via Upwork milestones as follows:

  • Milestone 1 — MVP: $600 USD (funded into Upwork escrow at project start. Released upon delivery of working promo-calendar-to-Klaviyo pipeline for Reef Treats — one sheet row creates a fully scheduled email campaign)
  • Milestone 2 — Full System Build: $900 USD (funded into escrow after Milestone 1 approval. Released after SMS support, suppression sync, offer rotation, multi-brand config, performance dashboard, full testing and documentation handover)

Payment is held in Upwork escrow until each milestone is delivered and approved. You are not charged until you approve the work. API costs (Klaviyo API, AI model usage) are separate from project fee, estimated at under $30/month at current volume.

Clause 03

Client Obligations

To ensure timely delivery, the Client agrees to provide the following:

  • Klaviyo admin access for both Reef Treats and Field Days Experience accounts
  • WooCommerce API access (already provided)
  • Google Sheet access for promo calendar and performance dashboard
  • Brand assets and example campaigns from past promotions
  • Respond to review requests within 2 business days

Delays caused by late access or materials may extend the project timeline accordingly.

Clause 04 & 05

IP & Confidentiality

Upon receipt of full payment, custom work product transfers to the Client. Service Provider retains rights to general methodologies. Both parties agree to keep confidential any proprietary information shared during this engagement (survives 2 years).

Clause 06, 07 & 08

Support, Termination & Disputes

Post-launch maintenance included as described. Either party may terminate with 7 days written notice. Disputes addressed through good faith negotiation, then binding arbitration.
